Event Planning

including Day of Coordination and Hourly Consultation

 

Trying to decide if you need an event planner to help create the biggest day of your life is an important question, especially when your budget is an issue. There are a multitude of weddings that occur every year that don’t have the benefit of an event planner’s help, and they turn out simply wonderful.

 

Whether or not you need an event planner is largely determined by a few factors. One – do you have the time to handle all the details? Two – are you comfortable identifying and negotiating with vendors to ensure that you are receiving the service best suited to you? Three – do you have a friend or family member who won’t feel put upon to handle the details on the actual day of the event?

 

While there are other issues, we consider these to be the big three questions. And if you can answer yes to all of them, then chances are good you will be fine on your own. We’re not going to provide you with a list of items designed to “scare” you into our booking our services – that doesn’t reflect our philosophy. We believe every wedding is unique and special, but it’s not like you’re attempting something impossible.

The clients who choose to book us for planning services tend to be short on time, unsure of how to choose the best vendors, are looking for ways to save money, and are unclear on the best way to set agendas, coordinate the ceremony, negotiate with family, and countless other details. They don’t want to take away a friend or family member’s enjoyment of the day – they want each and every guest to have a great time. And they realize that it might be good to have an experienced professional around just in case something goes awry.

 

If that sounds like you, we offer three different levels of planning services, designed to fit your needs and budget.  Our years of experience in planning events, negotiating contracts, and growing relationships with quality vendors (some of whom offer discounts to planners) greatly ease the process for our clients.

 

Hourly Consultation – If you just need a half hour to a few hours of event planning help or graphic design assistance (for Save the Dates, programs, or invitations), we offer a very affordable rate. This can be very helpful for those brides who just want someone to look through their agenda, ask questions about preferred vendors, or review any other detail. - $20.00/30 minutes

 

Day of Coordination – This is our most popular package, and includes:

 

Four planning meetings (plus more if deemed necessary by both parties)

Unlimited phone calls and e-mails the week of your event

A Facebook contact page for dialogue

Vendor confirmations

Agenda creation

Rehearsal coordination – including seating of VIP guests, bridal party processional, and recessional

Rehearsal dinner coordination – including working with the facility, coordinating guests, and helping with gift disbursal

Complete event help on the day of the event – from early morning until late evening – this includes everything from monitoring your agenda and vendors, to distributing payments, to setting up escort cards, to ensuring your guests various needs are met. We have performed a wide variety of tasks to ensure the day goes off as smoothly as possible, from running to purchase a shirt for a bridesmaid to serving as a walking umbrella for guests during a downpour. The number and type of tasks we perform on the day of your event are too numerous to list, especially as we’re sure there are new ones waiting for us with any event. Basically, we do what has to be done in order to make things run smoothly.

Complete Event Planning – This package is growing in popularity, as clients’ events are becoming more intricate and their personal lives are becoming busier every year.

Vendor investigation, interviews, selection, and negotiation

Event design

Budget creation and management

Identification of potential issues, and identifying corresponding solutions

Agenda drafts, revisions, and finalization – and distribution of agenda to key parties

Graphic design assistance with Save the Dates, programs, and invitations

Rehearsal coordination – including seating of VIP guests, bridal party processional, and recessional

Rehearsal dinner coordination – including menu selection, invitations, working with the facility, coordinating guests, and helping with gift disbursal
